Email Files to Cloud Storage

Posted by Jayden Bartram on Mar 17, 2020 9:26:00 AM

Often getting files shared or to a centralized storage location can be painful and requires accounts and additional software, such as an SFTP client. To improve this process and to help your clients, Couchdrop supports the ability to email attachments directly into folders within your cloud storage (SharePoint, Dropbox, etc.).

Benefits of emailing files to cloud storage

How can the ability to get email attachments quickly into cloud storage help? One important benefit is that it enables you to get files where you need them without causing your customers or non-technical users headaches. Each user can email their files directly into a folder within your OneDrive, S3 bucket, Dropbox, or other cloud endpoint.

Using emails to share files and easily receive files has the following benefits;

  • No software or additional infrastructure required
  • Ease of use for non-technical audiences or end-users
  • The email application is always open, so to attach and send a file is very little overhead
  • Secure file transfer, email transfer protocols are built on secure frameworks ensuring that files transmitted fall into this framework
  • Files are stored directly on cloud storage that then has sharing, syncing, redundancy, and scalable support

How to set up an Inbox to email files to Cloud Storage with Couchdrop

In Couchdrop, setting up an Email Inbox will let someone email you, then have Couchdrop take the attachment and put it in a specified folder in your Cloud Storage. Setup is quick and simple to do.

Email Inbox Configuration

  • Navigate to your Couchdrop Portal and log in
  • Choose Inboxes and then create a new Inbox. Configure the specific folder for file ingestion.
  • In the configuration, enable the Email Inbox option
  • Couchdrop will generate a unique email address that points to the specific folder you've configured We recommend setting up an email alias with this address to use something that's easier to remember for the users sending files

You have now enabled the ability to email to cloud storage. From here, simply email files with attachments directly to that email address and the files will appear.
