File Actions

Event-driven automation for your file workflows

File Actions are responsive automations that are triggered on folder events. Set the rules once and have your files route, transform, and distribute themselves automatically across connected systems.

Thousands of organizations eliminate manual file handling with Couchdrop File Actions

Eliminate delays between file events and processing

File Actions start working the moment a file event occurs. Your predefined rules can automatically handle processing, transformation, and distribution across your organization.

Real-time activation triggers

File action workflows begin the instant an upload, download, or rename/move event occurs.

Scale from dozens to thousands of files without errors

Handle 10 or 10,000 files with the same reliability by eliminating the need for manual intervention.

Trigger multiple actions from a single file event

One file event can initiate a workflow with multiple actions. Distribute, transform, and notify users, all from the same triggering event.

How it works

Set up automated workflows in minutes

Give clients, partners, and external users a simple way to send files directly to your cloud storage. No accounts needed for uploaders, no infrastructure required for your team.

create branded upload links interface

Define your triggering events

Choose what specific event triggers the workflow such as file uploads via SFTP/FTP, Upload Link and Mailbox activity, file modifications, and more.

  • SFTP/FTP uploads
  • Portal and Mailbox uploads
  • Completion of scheduled transfers

Configure your workflow actions

Build multi-step workflows that transform and route your files. Choose from the same powerful action library as Transfer Automations, including encryption, compression, file renaming, and distribution.

  • Encrypt or decrypt sensitive files
  • Move, copy, or distribute to multiple destinations
  • Compress, unarchive, or rename files

Set up notifications and monitoring

Configure alerts so the right people know when critical files arrive or encounter processing issues. Maintain complete visibility with detailed execution logs for every event.

  • Email notifications for file arrivals and processing
  • Detailed logs of all file operations and events
  • Error alerts for failed transfers or processes

Deploy and forget

Once configured, File Actions work in the background without requiring ongoing management or supervision.

  • Automatic processing without manual intervention
  • Fast and reliable performance at any scale
  • Consistent execution every time files appear

Integrations

Run File Actions on your cloud storage files

File Actions work with the storage you already use — Couchdrop connects to 20+ storage platforms without requiring additional infrastructure.

Benefits

Automate file processing from start to finish without writing a line of code

File Actions can handle your complete workflow automatically, eliminating manual steps and saving time without requiring any coding knowledge.

Set conditional requirements

Configure different actions using conditional logic to create several workflow pathways from a single file event.

Organize files automatically

Perform specific actions based on patterns you define and organize files automatically based on your criteria.

Secure sensitive information

Protect sensitive data by automatically encrypting files and decrypting files with PGP or AES encryption.

Connect to your business systems

Couchdrop has built-in connectors for cloud storage and other systems you can set up in minutes without needing to create custom scripts.

Automate file cleanup

Add actions to archive, delete, or relocate original files after processing is complete without having to configure a separate cleanup task.

Set custom notifications

Configure alert notifications to any email address on workflow success and/or failure, even if they don't have a Couchdrop account.

Frequently Asked Questions

What are File Actions?

File Actions are event-driven automations that respond to file activities in your Couchdrop environment. They execute predefined processes like moving or copying files immediately after an event such as an upload, download, or file modification.

How do File Actions differ from Transfer Automations?

File Actions and Transfer Automations use the same action library, and the main difference is the way they're activated. Transfer Automations run on schedules or manual triggers. File Actions listen for events like a file upload, download, or rename, then act immediately after the event. On connection-based account tiers, a Transfer Automation consumes one connection while File Actions do not.

What events can trigger File Actions?

File Actions can be triggered by upload, download, or a rename/move event on a folder. They can also be triggered when a file is ingested from a configured Mailbox, Upload Link, Shared Link, Webhook, or Inbound AS2 Station.

Can I create multiple File Actions for a single event?

Yes, a single event can trigger multiple File Actions. This allows for parallel processing workflows where files can be processed in different ways at the same time, such as encrypting a file while also sending notifications and creating backups.

What types of actions can be performed in a File Action?

File Actions support a comprehensive action library including file format conversions, encryption/decryption, compression/decompression, file movement or duplication, and webhook notifications to external systems. These can be combined into multi-step workflows with conditional processing.

Is there a limit to how many File Actions I can create?

No, Couchdrop allows you to create as many File Actions as you want and each can be as simple or complicated as you need.

Do File Actions work with all storage platforms?

Yes, File Actions work with all storage platforms supported by Couchdrop, including traditional SFTP/FTP servers, cloud storage services, and block storage.

How do I monitor File Actions?

Each File Action execution generates detailed logs capturing connection attempts, action execution details, error conditions with specific failure reasons, and performance metrics. You can also configure notifications to alert you when actions are successful and/or encounter issues.
