US healthcare company sharing data with healthcare providers
Healthcare
What problem did they need to solve?
A healthcare company in the US needed to share sensitive healthcare data
with multiple providers. These EDI healthcare files were protected by
HIPAA, and so must be transferred using HIPAA-compliant methods.
The company had recently shifted to cloud-based working, with
paper-based workflows being moved to Excel-based applications. These
files were then saved in a Dropbox organization. These files were added
frequently, and the goal was to automate the whole process and remove
manual intervention and human error. A high amount of data transfer was
also required.
How does Couchdrop solve the problem?
The company discovered Couchdrop through an article about file transfers
from NetSuite to SharePoint and wondered if files could flow the other
direction with a different storage provider. Their main problem was
finding a way to automate moving files from Dropbox to NetSuite.
Using NetSuite as an external SFTP server, they were able to connect to
Couchdrop and then build an automation from within Couchdrop. This
automation checked the target Dropbox folder every 10 minutes and copied
any new folders to the NetSuite folder, completely removing the need for
manual processes.
Couchdrop's robust security and generous file transfer limits ensured
the process was a success.
Australian HR company updating scheduling based on live sales
information
HR
What problem did they need to solve?
A company with a comprehensive HR application was looking to help their
clients receive regular updates so they could optimize and update
scheduling as quickly as possible. Often, their clients would create
schedules based on a gut feeling, which could lead to having too many or
too few staff on the floor. Instead, scheduling could be based on sales
data with the goal of keeping the sales per labor hour at a high level,
something the application could forecast with data if it has up-to-date
sales information.
The problem was that the software needed a way to obtain that sales
information as soon as it was available so it could relay that to store
managers. The manager could then update staffing accordingly for their
store. Different clients could be using different applications to
transmit this data, but all could support SFTP file transfers, so they
were looking for a solution to gather all the required data in one place
no matter who the client was or what they were using.
How does Couchdrop solve the problem?
Couchdrop was recommended by another company that mentioned Couchdrop is
able to connect to on-prem systems and pull files into cloud storage,
including exporting data from online shops like Shopify to the cloud.
This was appealing because clients could be using a number of storage
platforms such as Dropbox, SharePoint, or an on-prem file server.
Each client would have their own instance of Couchdrop where they could
create users and connect storage as necessary. Then they would set up an
automation that would check a specific directory every 15 minutes and
pull any new files into the HR application. The application would then
analyze the new data and recommend how to adjust scheduling to maximize
sales per labor hour, including an estimate of how much the
recommendation could help improve this metric, leading to greater
efficiency.
European Biotech company syncing a Dropbox folder to NetSuite
Biotech
What problem did they need to solve?
A biotech company in Europe reached out to Couchdrop because they needed
to sync sensitive healthcare data from their Dropbox environment to a
NetSuite endpoint. Due to being outside of the United States, HIPAA
compliance was not required but they were looking for a similar level of
security for their process.
The company had recently shifted to cloud-based working, with
paper-based workflows being moved to Excel-based applications. These
files were then saved in a Dropbox organization. Files were added
frequently, and the goal was to automate the whole process and remove
manual intervention and human error. A high amount of data transfer was
also required.

US healthcare company needing a secure upload portal for customer
documents
Healthcare
What problem did they need to solve?
A healthcare company in the US needed a way for customers to send them
supporting documents. Knowing that email wasn't secure enough, they were
looking for a HIPAA-compliant solution that would minimize the steps of
the customer uploading files to having them arrive in the final
destination for a staff member to review.
The goal was ultimately for these documents to end up in the
organization's Google Workspace account. The company had looked at
several solutions but couldn't find one that was HIPAA-compliant and
could securely obtain documents into Google Workspace.
Previously, they had looked into AWS as an option, as they were already
using AWS for other purposes, but it would require building an
application on top of it, and decided to look for a ready-made solution
instead.
How does Couchdrop solve the problem?
The company discovered Couchdrop through the page SFTP for healthcare
and booked a call to check for HIPAA compliance and to make sure that
Couchdrop was suitable for the specific use case. They learned that
there were multiple options that could accomplish their goal, including
a branded upload portal white-labeling or creating an SFTP user for
customers with restricted access to the specific folder.
With multiple options, the healthcare company decided to review their
options and decide on which method would work best, happy that Couchdrop
would be suitable no matter which method they ultimately chose to use.
US-based Automotive dealership connecting to Vendor APIs
Automotive
What problem did they need to solve?
An automotive dealership regularly needed to share files with vendors,
but was concerned about oversharing. These vendors use an API for
specialty software, and the dealership wanted to get the information out
of this system and distribute it among different back-office systems.
Ideally, this information would be copied to cloud storage for different
departments at the same time so that everyone had the same information
at the same time and could act accordingly. This distribution was
something that happened daily and the solution needed to automate the
process entirely.
While the existing solution worked okay, the price-to-value ratio seemed
unfavorable enough that the dealership decided to search for an
alternative.
How does Couchdrop solve the problem?
Couchdrop was found from a search for SharePoint to FTP on Google, where
they found that Couchdrop could connect to many more storage platforms
and automate the entire vendor process.
A user was created for each vendor, with each user being isolated to one
folder on Couchdrop where they would upload their file. Each day,
Couchdrop would monitor all of these vendor folders, move any new files
that were in the folder, then make copies for different SharePoint sites
and rename them. Notifications would then be sent to end users to inform
them the files were ready, with another email sent to admins when files
were downloaded.
