An automotive dealership regularly needed to share files with vendors, but was concerned about oversharing. These vendors use an API for specialty software, and the dealership wanted to get the information out of this system and distribute it among different back-office systems.

Ideally, this information would be copied to cloud storage for different departments at the same time so that everyone had the same information at the same time and could act accordingly. This distribution was something that happened daily and the solution needed to automate the process entirely.

While the existing solution worked okay, the price-to-value ratio seemed unfavorable enough that the dealership decided to search for an alternative.

A user was created for each vendor, with each user being isolated to one folder on Couchdrop where they would upload their file. Each day, Couchdrop would monitor all of these vendor folders, move any new files that were in the folder, then make copies for different SharePoint sites and rename them. Notifications would then be sent to end users to inform them the files were ready, with another email sent to admins when files were downloaded.
